ENIGOO accreditation system: data, overview, control

At the Forum Elektromobilita 2025 conference, we had the opportunity to demonstrate what a fully digitized accreditation process can look like. Over the course of two days, several hundred participants – from media and partners to technical teams – passed through the accreditation center, and the entire process ran quickly, smoothly, and completely paperless. 

What the Accreditation System Solves

The main goal is the efficient management and control of accreditations. The system connects several steps into a single interface:

  • online registration form,
  • approval of participants,
  • printing and tracking of accreditation badges,
  • access control via scanning terminals,
  • statistics and data export.

Another benefit is the creation of a secure database of accredited individuals – in compliance with GDPR – which enables further collaboration with media and partners.

System Components

📝 Online Form

Each event can have its own registration form tailored to the type of participants. It is responsive, clear, and allows for the collection of the exact data the organizer needs (e.g., roles, media outlets, photos, contact details).

⚙️ Online Administration

Everything is managed in a user-friendly admin interface:

  • setting up new events and capacities,
  • adding and approving participants,
  • editing and exporting data,
  • clear filters and statistics,
  • catering and other service management.

💳 On-Site Support

Our technical infrastructure includes:

  • printing of accreditation badges,
  • lamination and participant tracking,
  • scanning terminals with a control app,
  • staff training and registration assistance.

The terminals operate both online and offline. When a QR code is scanned, information is instantly displayed regarding whether the specific participant has access to the given zone (e.g., PRESS center, backstage, etc.). Once connected to Wi-Fi, everything automatically synchronizes with the database.

Example of the Accreditation Process

  1. The organizer sends out invitations with a link to the registration form.
  2. The accredited participant fills out the details and submits the request.
  3. The organizer approves or rejects the accreditation in the admin panel.
  4. Upon approval, the system automatically prepares the accreditation badge for printing.
  5. On-site, the badge is issued, and security checks access via the terminal.

Security and GDPR

All data is processed in full compliance with GDPR. Every access log is recorded, data is stored securely, and it is accessible only to authorized personnel. This gives the organizer full control over the data and a complete overview of the history of all accredited individuals.
